Position Overview: Administrative Assistant

The Administrative Assistant plays a vital role in supporting the daily operations of the CATTA. This role involves various administrative tasks, customer service, and organizational responsibilities that contribute to the smooth functioning of the CATTA and a positive experience for students, parents, and staff.


Roles and Responsibilities:

1. Front Desk Operations:

· Greet students, parents, and visitors warmly, providing a welcoming and professional first point of contact.

· Answer phone calls and respond to emails, addressing inquiries, scheduling questions, and general information requests.

· Assist with student registrations, class enrollments, and payment processing.

2. Student Records Management:

· Maintain accurate and organized student records, including contact information, attendance, and progress tracking.

· Input and update student data in the school's database or management software.

3. Class Schedule Management:

· Assist in managing class schedules, including updating class times, instructors, and room assignments as needed.

· Communicate any schedule changes or updates to students, parents, and instructors.

4. Administrative Support:

· Assist with various administrative tasks, such as photocopying, filing, data entry, and document preparation.

· Help maintain a clean and organized office environment.

5. Communication and Correspondence:

· Communicate class updates, announcements, and reminders to students and parents via email or other communication channels.

· Draft and send routine correspondence, such as welcome letters, thank-you notes, and newsletters.

6. Event Coordination:

· Assist in planning and coordinating special events, workshops, belt tests, and promotions.

· Manage event logistics, including registration, materials preparation, and attendee communication.

7. Marketing Support:

· Assist in updating the school's website content, social media profiles, and online listings.

· Help create and distribute marketing materials, such as flyers, posters, and promotional brochures.

8. Customer Service:

· Address customer inquiries and concerns in a friendly and professional manner.

· Assist with resolving issues, providing information, and directing inquiries to the appropriate staff members.

9. Assistance to Instructors and Staff:

· Provide support to instructors and staff, assisting with administrative needs, scheduling, and communication.


Qualifications:

· 2-3 years of experience as an Administrative Assistant

· High Diploma needed BA preferred

· Strong organizational skills with a keen attention to detail.

· Excellent communication skills, both written and verbal.

· Proficiency in using office software, including word processing, spreadsheets, and email.

· Customer service-oriented attitude with the ability to interact courteously and professionally.

· Ability to multitask, prioritize, and manage time effectively in a dynamic environment.

· As an Administrative Assistant, your contributions are essential to maintaining the school's operational efficiency and creating a positive experience for students and visitors. Your attention to detail and dedication to administrative tasks will help ensure that the school runs smoothly and that students receive the support they need.


Pay: $17-$19 per hour. Pay is commensurate with experience.

Part-time


Schedule:

  • Day shift
  • Monday to Friday

Experience:

  • nonprofit: 1 year (Preferred)
  • Administrative: 2 years (Preferred)
  • Microsoft Excel: 1 year (Preferred)

Work Location: In person
